AI receptionist for small business: what it does and what it costs
An AI receptionist is software that answers your calls or texts, asks the questions a person at your front desk would ask, books the appointment and passes anything unusual to someone on your team. For a service business that misses calls while the crew is on jobs, it's worth it once it knows your services, hours and calendar, and a person on your team reads its conversations for the first few weeks.
We've built websites and business systems since 2008, and we set up AI agents in GoHighLevel for clients, on the phone with Voice AI and over text and email with Conversation AI.
What does an AI receptionist do?
An AI agent is software that holds a conversation and takes actions inside your tools, like booking a calendar slot. An AI receptionist is an AI agent with one job, the first conversation with a new customer. Most tools sold under that name cover four steps.
- Answer. It picks up a call, replies to a text or answers a website chat, at any hour.
- Qualify. It asks what the person needs, where and when, and saves the answers to the contact record.
- Book. It offers open times from your calendar and books the one the person picks.
- Pass to a person. When someone asks for a human, or the question goes past what it knows, it hands the conversation to your team with notes attached.
In GoHighLevel these are two products. Conversation AI answers FAQs, qualifies and books over text and chat. Voice AI answers and makes calls and runs a voice widget on your website (GoHighLevel). If the platform is new to you, start with what GoHighLevel is.
What should an AI receptionist never do on its own?
Anything where a wrong answer costs you a customer or money. These stay with a person.
- Quotes that depend on the job.
- Promises about dates, warranties or refunds.
- Complaints and upset customers.
- Anything outside its knowledge base. When it doesn't know the answer, it says so and passes the conversation to your team.
An agent without a strict knowledge base fills gaps with answers that sound right and aren't, so we write the knowledge base first.
Is missed-call text-back the simplest first step?
Yes. Missed-call text-back sends an automatic text to anyone whose call goes unanswered, so they hear from you right away and can reply. It's a standard workflow with no AI in it, and GoHighLevel builders put it on the short list of first automations, alongside booking confirmations, reminders and new-lead follow-up (RSLA, GHL Scale Up).
Once that text is going out, an AI agent can take over the reply thread, and Voice AI can come next for after-hours calls. Our GoHighLevel automations guide covers the rest of the first builds.
What does an AI receptionist cost?
These are published vendor prices as of October 2026. Check each vendor's page before you buy.
GoHighLevel, on top of a GoHighLevel plan, which starts at $97 a month (pricing):
- Voice AI, pay per use: $0.045 a minute for the voice engine, plus text-to-speech (for example, $0.015 a minute for OpenAI's voices), plus AI model tokens (AI pricing).
- Conversation AI, pay per use: billed by AI model tokens rather than per message (same source).
- AI Employee plans, per sub-account: Growth is $50 a month and includes 1,000 Conversation AI responses and 100 Voice AI minutes a month. Unlimited is $97 a month, subject to fair use (same source).
- Phone minutes, on every plan: $0.01165 a minute inbound and $0.0166 a minute outbound on a GoHighLevel number (phone pricing).
On pay per use, 100 inbound Voice AI minutes come to about $4.50 for the voice engine, $1.50 for text-to-speech and $1.17 in phone minutes, plus tokens. The full breakdown is in what GoHighLevel costs.
Other well-known AI receptionist tools:
| Tool | Published monthly price | What the price includes |
|---|---|---|
| Smith.ai AI Receptionist | Free, Pro $150, Enterprise $500 | 25, 75 or 300 calls a month, then $2.17 to $3.00 a call |
| Goodcall | $79, $129 or $299 | 100, 500 or 2,000 unique customers a month, minutes not metered |
| Rosie | $49, $149 or $299 | 250, 1,000 or 2,000 minutes a month |
If the agent texts, US texting from a local number needs A2P 10DLC registration. Through GoHighLevel it starts at $22.50 one time plus a monthly campaign fee (phone pricing).
How do you set up an AI receptionist safely?
- Write the knowledge base first. Your services, service area, hours, what you don't do and the questions customers ask most.
- Start with approval on. The AI drafts each reply, and a person on your team approves it before it sends. Read every conversation for the first weeks and correct the knowledge base wherever an answer was wrong. Once the drafts are coming out right, switch it to reply on its own, and keep reading a sample of conversations each week.
- Tell people it's AI. Say so in the greeting or the first text, and offer a person on request. For outbound calls, the FCC ruled in February 2024 that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act (Cooley).
- Register for A2P 10DLC before it sends a single text.
- Give it clear stop rules. It stops when someone says "stop," passes the conversation to your team when someone asks for a person, and goes quiet when your team replies.
- Test the booking path end to end. Book, reschedule and cancel a test appointment, then check what lands on the calendar and in the inbox.
What have we built?
In October 2026 we built our own AI nurture agent in GoHighLevel Conversation AI. It answers new leads by text and email, books them onto the calendar for our free Systems Audit, hands the conversation to Michelle when someone asks for her, and stops when someone replies "stop" or "not now." It sends two timed follow-ups and goes quiet whenever a person or a workflow sends a message. In testing on October 20, booking, rescheduling and cancelling by email reply all worked.
We set up agents like this one for clients in GoHighLevel, over text and email and on the phone with Voice AI. Many owners start with text, then add the phone agent once the text agent is answering well.
