GoHighLevel automations, and what to build first

Published October 22, 2026

Build the GoHighLevel automations that catch leads you're losing today first, starting with a fast reply to every new lead and a text back when you miss a call, then booking confirmations, reminders and review requests. GoHighLevel runs each of these as a workflow, a trigger followed by actions, and its AI agents are worth adding once the basic follow-up works.

We build workflows in our own GoHighLevel account and set them up for clients. The setup checks further down come from running our own account.

How do GoHighLevel workflows work?

Every workflow starts with a trigger and runs a series of actions. HighLevel's trigger list covers contacts (created, changed, tag added, birthday), events (form submitted, call details, customer replied, inbound webhook), appointments, opportunities (stage changed, stale), payments, courses, reviews and social comments. The action list covers sending email, SMS, WhatsApp and Instagram DMs, waits and If/Else branches, creating and updating opportunities, sending review requests and invoices, webhooks and Google Sheets, and AI actions.

Limits and costs, as of October 2026:

  • Up to 600 actions per workflow, with a counter in the builder (changelog).
  • No published cap on the number of workflows on the pages we checked.
  • Premium actions cost $0.01 per execution. Workflow Pro bundles them at $10, $25 or $50 a month for 10,000, 30,000 or 65,000 executions (pricing guide). Standard triggers and actions aren't charged.

Which GoHighLevel automations should you build first?

Start with the leak that costs you the most today. GHL Scale Up and RSLA both land on close to this order.

  1. New-lead follow-up. Trigger on Form Submitted, a Facebook or Google lead form, or a new contact. Send an SMS and an email right away, send an internal notification to whoever owns the lead, and create an opportunity in your pipeline.
  2. Missed-call text-back. Trigger on Call Details for a missed call and send an SMS that offers a booking link.
  3. Booking confirmation and reminders. Trigger on Customer Booked Appointment. Confirm by email and SMS, then add Wait steps for reminders before the appointment. Use Appointment Status to handle no-shows and cancellations as separate branches.
  4. Pipeline follow-up. Trigger on Pipeline Stage Changed or Stale Opportunities and create a task or send a follow-up, so deals don't sit.
  5. Review request after service. Use the Send Review Request action after a job is marked complete, and the New Review Received trigger to route replies.
  6. Reactivation. Bring back past customers who haven't booked in a while.

In our own account, the first thing we built was the booking calendar behind our free Systems Audit, followed by its booking flow, four lifecycle email sequences, and workflows for reply routing, booking handoff and appointment changes.

What should you check in GoHighLevel workflows?

Practitioner guides name duplicate messages from overlapping triggers, missing Wait steps, re-entry settings and conflicting workflows (GHL Scale Up). Each one is worth checking before launch.

One confirmation per booking. A calendar's default confirmation sends alongside a workflow's emails, and a calendar with no meeting location leaves the meeting link blank. Save a location on the calendar, turn off its default confirmation, and add a one to two minute Wait at the start of the workflow.

Exact appointment statuses. Check that each appointment branch filters on the exact status you mean, so no-show and cancellation messages stay separate.

Settings add up instead of overriding. A course purchase can trigger a workflow email, the Memberships login email set on the offer, and a gamification badge email. Before launch, list every place that can send an email for the same event.

One workflow per trigger. A prebuilt recipe workflow published with the same trigger tag enrolls every contact in both, so build inside the existing workflow instead of creating a second one.

The tag fires once. Tag Added won't fire again on a contact that already carries the tag, so every re-test needs a fresh test address. For course access, it's the Grant Offer action that creates the portal login, and it only emails credentials to a contact with no existing login.

There's no dry run. Testing means a real contact with real tags. Drafts don't enroll anyone, and the execution logs are readable in the interface only.

Merge fields from GoHighLevel's own list. GoHighLevel won't save an email that uses an appointment variable it doesn't have, so check every merge field against its list.

The email-side lessons, including how each workflow picks its own sending domain, are in our GoHighLevel review.

What do you need before you automate texts?

US texting needs A2P 10DLC registration, which costs $22.50 one-time for Sole Proprietor or Low Volume plus a monthly campaign fee, or $64 one-time for High Volume (Phone System pricing). Use the Messaging Error - SMS trigger to catch texts that fail. Keep the chat widget off any page where a calendar collects phone numbers, because the two on one page break A2P attestation.

How do GoHighLevel AI agents work?

HighLevel's AI tools as of October 2026:

  • Conversation AI answers messages, qualifies leads and books appointments.
  • Voice AI handles inbound and outbound calls and a voice widget.
  • Agent Studio is a node-based editor for custom agents that can use a Knowledge Base, web search, APIs and MCP tools.
  • Managed Agents are autonomous CRM agents you set up from a plain-language role description.
  • Workflow AI adds actions such as Decision Maker, Intent Detection, Summarize and Translate, and can build workflows from a prompt.

Pricing comes from AI Product Pricing, updated October 20, 2026. Pay-per-use bills Conversation AI by language-model tokens and Voice AI at $0.045 a minute plus text-to-speech and tokens. AI Employee Growth is $50 a month per sub-account with 1,000 Conversation AI responses, 100 Voice AI minutes and 100 Managed Agents runs. AI Employee Unlimited is $97 a month per sub-account with unlimited Conversation AI and Voice AI under fair use and 1,000 Managed Agents runs. Agent Studio is pay-per-use on every plan, and phone charges apply to every AI call. The full math is in what GoHighLevel really costs to run.

We built an AI nurture agent in Conversation AI in October 2026. It answers by SMS and email, books onto our Systems Audit calendar, hands the conversation to a person on request, stops on "not now," "stop" or "unsubscribe," and goes quiet whenever a person or a workflow sends. It runs in Suggestive mode, and in our October 20 test it booked, rescheduled and canceled appointments correctly from email replies.

For a first rollout, third-party guides recommend building the Knowledge Base first, running Conversation AI supervised, and telling people they're talking to AI (GHL Scale Up).

Questions

What GoHighLevel automation should I build first?
A fast follow-up for every new lead, by text and email, with an alert to whoever owns it. Then add missed-call text-back and booking confirmations with reminders.
How many workflows can you have in GoHighLevel?
HighLevel doesn't publish a limit on the number of workflows on the pages we checked. Each workflow can hold up to 600 actions.
Do GoHighLevel workflows cost extra?
Standard triggers and actions are included in every plan. Premium actions cost $0.01 per execution, or you can buy Workflow Pro from $10 a month, as of October 2026.
What is the GoHighLevel AI Employee?
It's HighLevel's AI bundle priced per sub-account, $50 a month for Growth and $97 for Unlimited as of October 2026. Agent Studio is billed separately by usage, and phone charges still apply to AI calls.
Can you test a GoHighLevel workflow before it goes live?
GoHighLevel has no dry-run mode. Test with a real contact and a fresh address each time, because Tag Added won't fire again on a contact that already has the tag.
Why does my GoHighLevel workflow send duplicate messages?
Calendars, offers and workflows each send their own emails, and they add up instead of replacing each other. Turn off the default calendar confirmation, check offer emails, and add a short Wait at the start of the workflow.
